A wedding venue isn't just a backdrop. It sets the capacity, budget, style, catering, transport, schedule, music rules and often how many practical problems you'll be solving on the day. That's why it's chosen before the decorations, the dress or most of the suppliers.

Beautiful photos are a good start but a poor end to the selection. During a viewing, ask mainly about the things you can't see on Instagram.

Capacity and the shape of the day

  • Ask about the capacity for a seated meal, not the maximum number of people in the space. You need room for tables, dancing, the DJ, gifts, a photo booth, a children's corner and staff moving around.

  • The ideal venue can host the ceremony, the meal and the evening party without complicated transfers. If you have to move, count on time, transport, parking and keeping guests informed.

Price and rules

  • Ask for a final quote. The hire fee may be only the beginning. Ask about minimum spend, your own alcohol, corkage, cleaning, service, technical equipment, tablecloths, furniture, an extension past midnight and preparing the day before.

  • The venue's rules must be clear: when the music ends, noise limits, candles, open fire, confetti, putting up decorations, suppliers, parking and liability for damage.

The wet-weather plan

  • If the ceremony is outdoors, a wet-weather plan isn't a bonus. It's a must. Ask where the ceremony, the meal, the photos and the music move to in rain, wind or great heat.

  • A good wet-weather plan isn't a storeroom with chairs. It must be dignified, accessible and prepared so that the programme doesn't fall apart.

  • Make a short table: capacity, price, what's included, catering, your own alcohol, accommodation, when the music ends, wet-weather plan, parking and how the communication felt.

  • If a venue matches your style but the communication is chaotic already at the viewing, take it as a warning. A wedding day needs reliable operations.
