How to plan a wedding step by step

Planning a wedding is easier when you don't tackle everything at once. First you need to decide the size and style of the wedding, then the venue and date, then the suppliers, and only at the end the details. If you start with decorations or the dress before the budget and the venue, decisions quickly start to fall apart.
This approach is practical for couples planning a wedding in the Czech Republic who want an overview without spreadsheet fatigue. The goal isn't perfection but a clear order of decisions. If you'd like to write your first plan on paper, download the free wedding planner PDF.
1. Agree on the basic framework
-
First answer four questions: how many guests you want, in which region, what total budget and how formal the wedding should be. The answers don't need to be exact, but they must be good enough for a first shortlist of venues.
-
Split the budget into big categories: venue and food, photographer, music, dress and styling, flowers and decorations, stationery, rings, transport and a reserve. Treat the reserve as a normal line, not an emergency luxury.
2. Choose the venue and date
The venue determines the capacity, date, style, catering, transport and some of the suppliers. That's why it is chosen before most of the details. For every venue, ask for a final quote, the rules on bringing your own alcohol, noise limits, a wet-weather plan and whether you can prepare the day before.
- If you have a dream date in the main season, expect popular venues and suppliers to be booked well in advance. Flexibility on a Friday, a Sunday or outside the main season often improves both choice and price.
3. Build your team of suppliers
-
After the venue, book the suppliers who can only do one wedding a day: photographer, videographer, coordinator, DJ or band, caterer and florist. Compare the scope of each service, not just the price.
-
A bulk inquiry can help once you know the date, venue, number of guests and basic style. Without these details you'll get generic answers that are hard to compare.
4. Fine-tune the guests, website and schedule
-
The guest list connects the budget, seating plan, RSVP and catering. Once you have a venue, send guests the basic information and start collecting replies. A wedding website or a simple online overview cuts down repeated questions.
-
In the last month, focus on the schedule, supplier contacts, moving things to the venue, payments, final meal numbers and a plan for rain. These practical things affect how calm your wedding day will be more than anything else.
Frequently asked questions
When should we start planning the wedding?
Ideally 12-18 months in advance for a larger wedding in the main season. A smaller wedding outside the season can be done faster.
What should we sort out first?
After the budget and the number of guests, choose the venue. The venue decides most of the next steps.
