A wedding checklist works best when it isn't endless. It should show what to deal with now, what can wait and what must be done before the next step. If your wedding is smaller or you have less time, you can merge several phases. If you're planning a big wedding in the main season, stick to the checklist more carefully.

This checklist is written for a typical Czech wedding with a ceremony, a meal, an evening party and 40-100 guests. A printable checklist, together with a budget, guest list and schedule, is in the free wedding planner PDF.

Wedding checklist split into time blocksThe first milestones worth keeping an eye on over time, not at the last minute.

12-18 months before the wedding

  • Agree on the budget, number of guests, region and style of the wedding. Make a first guest list and decide whether you want a civil, church or symbolic ceremony.

  • Choose the venue and book the date. Ask the venue for a final quote, the catering rules, its policy on your own alcohol, when the music has to end and the wet-weather plan.

9-12 months before the wedding

  • Book the photographer, video, music, coordinator, caterer and, if you want one, the florist. Start looking at the dress, rings and wedding website.

  • Set up a budget and a task list. For every supplier, record the price, deposit, final payment date, contact and scope of service.

3-6 months before the wedding

  • Send the invitations, open RSVP, arrange the registry office, finalise the flowers, cake, stationery, guest accommodation and transport. Start building the seating plan from the confirmed replies.

  • Plan an outline of the day's schedule and share it with the main suppliers. If parts of the programme clash, sort it out now, not a week before the wedding.

The last month

  • Confirm meal numbers, allergies, supplier arrival times, payments, contacts and how things get to the venue. Prepare a list of group photos and a plan for rain.

  • The last week shouldn't be about new ideas. It should be about checking, handing over information and resting.

Frequently asked questions

Is a paper or an online checklist better?

A paper checklist is good for an overview; online tasks are better for deadlines and reminders.

What if we're planning a wedding in 3 months?

Start with the venue, the registry office, the guests and the suppliers with limited availability. Leave decorations and details until after that.
